IT Leaders, Some of your agencies have experienced the change in procedure as it relates to gaining access to the ISP-HQ datacenter to perform maintenance on your agency's equipment. I apologize if that change has caused inconveniences in your maintenance schedules. I also apologize for not informing you of the change in procedure before now, but I want to make sure you are all aware of the change in procedure. During a Vulnerability Assessment, the Department of Homeland Security identified the ISP-HQ Datacenter and two other entities on campus as critical infrastructure requiring enhanced physical security measures. This assessment served as the impetus for the Idaho State Police making significant policy changes to enhance physical security with the intent of making ISP a hard target. ISP immediately began implementing enhancements starting with access control. Many of your agencies have a presence in the ISP datacenter and you require access to perform various duties related that equipment. ISP must go through specific protocols to meet both the physical and digital requirements of the FBI CJIS Security Policy. This ensures we are minimizing unnecessary risks and keeping all equipment and data within the datacenter secured. This focuses on the physical protection of your equipment and data. The security and operational health of all assets hosted at ISP are a high priority and the Idaho State Police takes the required security measures seriously. The information identified later in this email outlines the procedure for being properly vetted and gaining unescorted access to the ISP datacenter. My Operations Officer, Andy Miller (cc'd on this email), is the primary point of contact for your agency when needing to gain physical or network access to the Idaho State Police facilities. My contact information, located within my email signature below is available if you need to reach out with any questions regarding this process. I understand this is a significant change from what has been in place for many years and it may seem overwhelming initially. However, my team and I are happy to assist and answer questions you may have. The following process is only required if both the following are true: * The visitor has a business need to gain regular reoccurring entry into the facilities of the Idaho State Police. * The visitor has a need to visit the ISP facility over several different visits within a year. The following process is not necessary if the following is true: * The visitor does not have a business need to visit the Idaho State Police facility. Steps to gain clearance for unescorted access to the Idaho State Police facilities: 1) Fill out the attached Non-ISP Access Application Form. Return to andy.miller at isp.idaho.gov. 2) ISP-HR : A representative from the ISP Human Resources (HR) department will be assigned as your point of contact. HR will provide fingerprint and criminal history background checks. There is no need for the applicant to share these details with anyone else outside of the ISP-Human Resources department. This is considered to be a personal and confidential exchange of information. This data is secured to a need-to-know access only. This data is not shared with the ISP-IT staff. 3) ISP-HR : Approval/disapproval will be determined. Disapproved applicants will not continue to the next step. 4) ISP-HR : Upon approval HR will take your photograph. 5) An Idaho State Police assigned proximity badge with your photo and name will be provided to you. The agencies listed will begin migration 5/24 to 6/25, included at the end of the list are agencies that have migrated. During this transition it is possible that you will receive Quarantine summaries from both Mimecast and Cisco (the current solution) for a short period of time, 1-2 days.
