John, the Google spreadsheet will only be viewable by those who have the link. The link is https://docs.google.com/spreadsheets/d/1_iaDX3iJcR0h4jdoan2H5VFsyu1shuOiMctT-73Z9aQ/edit?usp=sharing so it's not something that's easy to find. Anyone who visits the link is a "commenter" so they can view, copy, and leave comments for any changes needed. That way I can go in and easily make the changes based on those comments or via an email.

Also, if there are any members who do not have a Google account, I can email them the spreadsheet directly from Google docs periodically.

I have finished adding all of the state directories if you guys want to check it out. Thanks!

Yes, you are right. I will note that in the intro email (if you all agree) and include a link to the excel workbook. In lieu of periodically emailing the directory, I am copying the full excel book (including each state's directory) to a sharable Google spreadsheet. This means anyone can view the survey list in real time with just a link and we won't have to send out regular updates.

Also I forgot to mention, non-members are also able to send requests to the group. Right now it is set for moderation (to keep out spam/solicitation). For example, if Rachel Martin in Wisconsin sends a request to the group, I will receive an instant notification and can release the email immediately. If it's junk, then I can reject it. I can also add moderators.

Hello all.  I have sent this email to the survey list.  Sheena, this should certainly be more efficient for you to maintain and easy for us to use.  One limitation is that sometimes states only want to survey certain other states and not the whole list.  It appears that we can't expand this list and choose a subset to send a survey to.  I guess for a custom list we would still need to draw on the periodically shared survey list.
