Starting today and throughout the year, please use RMIS by selecting the Fiscal Year 2020 data screens to make any new additions or changes involving Major Property assets, Autos, and Inland Marine items. Following are a few reminders: 1. Agencies are now able to access their specific data by selecting the 2020 Fiscal Year drop down arrow key shown on each applicable coverage screen. * All data screens prior to Fiscal Year 2020 are now closed for updates, however the data can be viewed and/or exported into excel format for viewing. 1. FOR NEW DATA ENTRIES (versus modifications to existing data): * After selecting the FISCAL YEAR 2020 DROP DOWN ARROW, then click the "GET ALL" button which populates the data to the bottom of the coverage screen. * When entering a new item, remember to change the COVERAGE START DATE FIELD to the effective date you want coverage to begin. (The date currently defaults to 7-1-19, so it needs to be changed to the date the coverage is to begin for the item entered.) * Remember to click the "ADD" button after entering the new data. Otherwise, the data will not be added, and you will have to start the process over again. * If your agency data is contained on multiple pages in the grid screen, it is easier to confirm the newly added item entered correctly by selecting the last page of data BEFORE entering the item. After item is entered, it should show up at bottom of the last page. 1. FOR MODIFICATIONS TO EXISTING DATA: * After selecting the 2020 FISCAL YEAR DROP DOWN ARROW, then click the "GET ALL" Button which populates the data to the bottom of the coverage screen. * View data at bottom of the screen and identify the line of data to be modified. Then click the "EDIT" button, which is shown next to the identified item to be modified. The edit button populates the data to the middle of the screen. * After making modifications to existing data from the middle of the screen, you must click the "MODIFY" or "ADD" button as applicable, or the change will not be accomplished, and you will have to start the process over again. 1. To REMOVE an item from any of the fiscal year 2020 screens, click the EDIT button next to the item to be removed, then select the REMOVE button. A pop up will appear and select: "Remove for all of year 2020". 1. Each agency's major property values showing in the Fiscal Year 2020 coverage screen were copied forward from Fiscal Year 2019. Building values were trended with a 1.57% increase and the contents and stock/supplies values were trended with a 1.33% increase. Mobile equipment values are not increased since they are to be entered at Actual Cash Value, not replacement value. 1. For agencies who reported data changes to Risk Management when RMIS was previously closed, please add those data changes into RMIS as soon as possible. Accident Report Guide - filled out and returned to Risk Management anytime there is an accident involving a State vehicle. 2. Certificate of Financial Responsibility - like the proof of insurance card in our personal vehicles, but this one never expires. 3. Citizen's Claim Filing Procedure - Document given to a third party who requests to file a claim for damages with the State of Idaho. Please note: there is a different Citizen's Claim Filing form and Procedure for the Public Health Districts. It has come to Risk Management's attention that some State agency vehicles contain older, outdated documents. We are asking you to make sure current information is in the glove box of each state vehicle. The updated information (pdf files) is current information available on Risk Management's intranet site: https://risk.adm.idaho.gov , under the "Forms" tab. This website is only accessible through the Statewide network. If you use Duo Security to get onto RMIS or any other State site, you will have to use the Duo to access Risk Management's website. Please take the time to print and copy the three documents and put them in the glove box of each of your state vehicles. Please also note that the accident report guide form also contains the procedure that must be followed in the event of an accident. If you are unable to access the Risk Management intranet site, please let us know and we will email the current information to you. As a reminder, the Risk Management website is a useful resource that can be helpful for many of your insurance needs.
