We (Water Resources) are in the process of implementing Jabber along with our Cisco VoIP solution.

We'd like to get an idea of how many other agencies are using agency supported/provided IM/Texting of any kind and, if so, what type and any policies you may have in place.

Please take a few minutes to answer the following questions:


1.       Has your department/agency implemented IM/texting?  If so:  (We have CISCO VoIP and Jabber but have not enabled Jabber for our users.)

a.       Jabber?

                                                               i.      On-Premises?

                                                             ii.      Hosted by other state agency (OCIO)?

b.       Microsoft?

                                                               i.      On-Premises?

                                                             ii.      Office 365?

c.       Other?

2.       Does your agency have a policy on logging IM/texts? (We currently have an informal policy that Jabber won't be used until we finalize an approved written policy that will require messages be logged and logs preserved. We expect to do this and start using it in the next 12 months)

a.       Yes

b.       No

3.       Are logs kept of IM/texts?  If so, are they:

a.       Stored and managed centrally on a server?

b.       Stored centrally, individually for each user?

c.       Stored on each user's hard drive?

d.       Other? To be determined but expect to store and manage on a server.

4.       In the event of a lawsuit or public records request, do you have a tool to search and preserve any IM/texts meeting the specific search criteria?

a.       Yes. This will be a requirement before we enable it.

b.       No

5.       How long are logs of IM/texts retained?

a.       Specific time determined by agency. To be determined.

b.       Application default

c.       Forever, until deleted by end-user

6.       Is your agency federated with other state agencies or external entities?

a.       Other State Agencies

b.       Other State Agencies and External Entities

c.       No

7.       If you have any policies regarding the use and management of IM/texting, can you please attach copies in your response?
