[IDHR] Donated Leave Process

Hello!

Effective immediately, anyone with the agency HR or agency payroll roles within Luma, are authorized to sign the donated leave forms (in addition to agency directors). I have attached a list of everyone's security roles as of Go-Live. We're working on getting an new list generated weekly. Once we that up and running, we'll send that out.

In addition to adding roles that can sign the donated leave form, we are working on updating the current donated leave form to be more clear.

In the meantime, keep using the current form and ensure the following:

  *   Include the donating and receiving employee's full legal name, preferred name and employee ID (this helps SCO locate the correct individual)
  *   Include the signer's full legal name, preferred name and employee ID (this helps SCO locate the correct individual)
  *   Include a pay date from the payroll calendar on the Effective Pay Date field - https://employee.idaho.gov/wp-content/uploads/calendar/2023_Portal_Calendar.pdf (one of the days with a dollar sign, $)
  *   Submit leave donations by the deadline - https://www.sco.idaho.gov/Documents/Printable%20Version%202023%20Payroll%20Calendars/Donated%20Leave%20Calendar.pdf
     *   Note: SCO cannot process donated leave on an off cycle - this is because they need to be able to deduct from the donating employee's leave during the regular payroll cycle
  *   Verify the eligibility requirements in the policy prior to submitting the donated leave form - https://dhr.idaho.gov/wp-content/uploads/Section6DonatedLeavePolicy08.25.2021.pdf
  *   Once you submit a Service Ticket for the donated leave request (see attached), make sure you keep an eye out for responses from SCO to that ticket so that you can address any urgent issues. You may have to go into the case to see their notes.
  *   Once donated leave has been processed, SCO will confirm once its been processed or if corrections are needed.

Finally, we are going to schedule a micro-learning session next week to walk through the donated leave process and answer any questions so be on the look out for that invite.
